SUMMARY
The Accounting Assistant performs entry level accounting work under close supervision; maintains records of all parish financial transactions by establishing and maintaining accounts, including posting transactions; payables and receivables. Additionally, this key member of the Finance team will prepare the weekly package for transmittal to the Diocesan Shared Accounting Services (DSAS). Handles cash oversight and collections for all areas of the parish and parish-operated Outreach Ministries, including, Our Mother of Mercy Food Pantry, Our Mother’s Attic (OMA), and Our Mother of Mercy Outreach. The Bookkeeper reports to the parish Bookkeeper.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties and functions, as outlined herein, are intended to be representative of the type of tasks performed within this classification. They are not listed in any order of importance. Other duties may be required and assigned.
- Processes the accounts payable mail.
- Prepares payment requests to be processed by Diocesan Shared Accounting Services (DSAS).
- Prepare accounts payable information to send to DSAS.
- Prepare any manual (local) checks and associated documentation to be sent to DSAS.
- Reconciles the parish credit card statement and processes payment transactions that have been received / completed.
- Applies postage to outgoing mail and prepares it for pickup.
- Verifies weekly office deposit.
- Prepare all cash receipts documentation to be sent to DSAS.
- Prepares all Faith Direct cash receipts documentation with notifications to Food Pantry, Internal Staff, and PDS data entry reconciliation.
- Prepares and submits weekly package to DSAS.
- Notifies Food Pantry of all donations.
- Notifies OMA Store Manager of all cash disbursements.
- Notifies CCW treasurer of all cash disbursements.
- Write letters for check returns or those that cannot be deposited.
- Prepares weekly collection worksheets and tamper-evident bags.
- Receives Gift Shop inventory with other assigned staff.
- Assists in the preparation of miscellaneous analysis in Excel.
- Assists with various projects, including photocopying and mailings.
- Works with the entire team to verify purchased items have been received, and work has been performed satisfactorily before processing accounts payable/credit card transactions.
- Contributes to team effort by accomplishing related results as needed.
- Maintains confidentiality in all areas of responsibility.
- Perform additional projects as required by the Bookkeeper and / or senior leadership.
Requirements
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- Associate Degree in Accounting or Equivalent Preferred.
- Three to five years of office experience required including bookkeeping.
- Proficiency with Microsoft Office products, including Excel, Word, and Outlook.
- Experience with Parish Data Systems (PDS), a plus
- Solid organization skills and ability to work independently.
- Experience with QuickBooks and Paylocity preferred but not required.

- Excellent interpersonal and organizational skill.
- Excellent oral/written communication skills with the ability to communicate effectively and work collaboratively with staff
- Knowledge of and respect for the Catholic Church, its teaching, and mission required.

- Ability to read and interpret basic correspondence.

- Must have pleasant telephone manners and good communication skills.
MATHEMATICAL SKILLS
- Ability to apply basic mathematical concepts such as adding, subtracting, dividing, and multiplying.

WORKING CONDITIONS
This person may need to be available in the evening and weekends, as needed. Must be willing to work in conditions of stress and function well under pressure.
PHYSICAL REQUIREMENTS
Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (15 pounds). Tasks may involve extended periods of time at a keyboard or workstation performing repetitive motions of the fingers, hands, wrists and arms. Requires the ability to read/see up close and at a distance.
